Payment policy

Payment through bank transfer only. Cash is allowed up to the legal maximum of €3000,- per person.

We do not accept payment through VISA, Mastercard, ...

Deposit of 40% is due within one week of signing up for our trips. The remaining balance is due for payment 6 week before departure.

Travel conditions

The Belgian "algemene reisvoorwaarden van de Geschillencommissie Reizen" (general travel conditions of the Committee for Travel Disputes - use an online translator for a translation of the text) are being complemented by a few specific conditions you agree to upon signing up for one of our expeditions. These conditions can be found in the text below.

Specific travel conditions Into the Arctic

Registration and payment

Your registration is being completed by signing the travel confirmation OR by payment of the deposit. The deposit is 40% of the total cost of the trip, or is equal to the cost of the flight tickets should those comprise more than 40% of the total cost of the trip (which is sometimes the case for Greenland). The deposit is due within one week of registration for the trip. The remaining balance is due 6 weeks before departure latest. If you sign up less than 6 weeks before departure date, the entire amount will be due for payment within 7 days of signing up.

When signing up less than 6 weeks before departure, Into the Arctic can charge additional costs if the price of the flights have gone up.

Into the Arctic has the right to cancel your booking if you miss your payment deadline. Cancellation costs (as outlined below) will apply. We will always send you a payment reminder before cancelling your trip.

If you sign up for multiple persons (e.g. family, friends), you have the end responsibility to comply with our payment policy and travel conditions for all of them.


If you wish to cancel your trip, please inform us as soon as possible. Upon cancellation by the traveller, following cancellation fees will apply:

  • up to 90 days before departure: the 40% deposit
  • 89 up to 45 days before departure: 50% of the trip cost
  • less than 45 days before departure or no-show: 100% of the trip cost

Ferry tickets, plane tickets: cancellation fee of 100% after tickets have been issued.

If the trip is cancelled by Into the Arctic, the traveller will receive a full refund.


In accordance to Belgian law Into the Arctic is Insured by Amlin Europe nv, Koning Albert II laan 37, 1030 Brussels (NBB nr. 0745 – RPR 0416.056.358), www.amlin.com to, in case of financial bankruptcy, meet its obligations towards the traveller. The guarantee is supervised by the Flemish Solidarity Travel Fund (Garantiefonds Reizen).
